The role

At Merlin, we help organizations in the critical infrastructure sector—from hospitals to utility companies—to set up professional crisis management systems using CrisisSuite. We’re a small company with large clients, and that only works if our day-to-day operations are in order.

That’s where we need you. You’ll manage our executive team’s schedules and the CEO’s email inbox. For prospects and clients, you’re often the first voice they hear on the phone. You’ll be in daily contact with the outside world and handle many matters on your own.

We are looking for someone who can keep track of the big picture, works with precision, and enjoys calling an executive secretary or IT manager to schedule an appointment.

What are you going to do?

Calendar and Appointments

You will manage the schedules of our three executives and schedule their appointments, both internally and with clients and partners. You will ensure that weekly routines are maintained and set aside time for work that requires concentration.

The CEO's email inbox

You sort incoming email, draft replies where possible, and forward items that require the director's review. You keep track of what we're still waiting for and send reminders in a timely manner.

Schedule Demos

You schedule four to six demos per month with prospects and personally call the relevant people to set them up. It’s a bit of a puzzle. Demos often bring together executives, management, IT, and BCM staff—all of whom have packed schedules. You’re the one who gets that group together on a single date.

Customer Contact

You’ll be in daily contact with customers and organizations interested in becoming customers, via phone and email. You’ll serve as a clear and professional point of contact for them.

Training Coordination

We conduct approximately 40 training sessions per year for our clients’ users. You’ll be responsible for all the administrative tasks involved: coordinating dates with the client and the trainer, inviting participants, and sending them timely reminders. You’ll handle the practical arrangements regarding the venue and materials, and after the session, you’ll distribute the evaluations and collect the results.

Ticket Sales for the Crisis Management Boost

The Crisis Management Boost is our annual event for crisis management professionals. You will handle participants’ questions and manage the related administrative tasks in our ticketing system, from registration to the participant list.

The Team

Merlin has twelve employees. You’ll work for the entire executive team. The CEO is your supervisor. You’ll also be in daily contact with colleagues in sales, customer success, and software development. Communication channels are short and there’s little hierarchy, so you’ll immediately see the impact of your work.

Who are you?

• You have an MBO+ or HBO level of work and thinking and experience in a support, administrative, or commercial role

• You work with precision and complete administrative tasks with care

• It’s easy to make a call. Calling an IT manager you don’t know to schedule a demo is no trouble at all

• You work independently: you don't wait for assignments, but identify on your own what needs to be done

• You're organized and you don't let anything slip through the cracks, even during a busy week

• You have excellent written and spoken Dutch skills, and you are comfortable using English

• You handle confidential information with care. We are ISO 27001-certified, so information security is a priority for us. Upon hiring, we require a Certificate of Good Conduct (VOG).

• You're comfortable using Microsoft 365 and can quickly learn a new system

• You are available for at least 32 hours per week and work in the office at least three days a week, including at least one Tuesday

What do we offer?

• An independent role working closely with the executive team of a growing SaaS company, with direct customer contact

• A one-year contract, with the intention of offering a permanent contract afterward

• Salary: €3,400 to €4,100 gross per month for full-time (40 hours), depending on experience, plus 8% vacation pay

• 24 vacation days for full-time employees, plus all recognized holidays, as well as Good Friday and Liberation Day off

• Company laptop and phone

• Flexible work hours. Monday is a work-from-home day for everyone; on the other days, you’ll mostly work in the office, because that’s where the action is in this role

• Lunch together at the office: a sandwich meal from Tuesday through Thursday, and à la carte on Friday

• Start date to be determined, preferably as soon as possible
