Synergy between the chairperson and the logger

Within a crisis team, the chairperson and the recorder form a crucial duo. The synergy between these two key roles directly influences the performance of the entire crisis team. In this blog, I offer four tips for fostering successful collaboration between the chairperson and the recorder.

1. Understanding each other’s roles

First of all: it helps immensely if chairs and minute-takers understand each other’s roles. It’s a good idea to have them discuss their roles during crisis meetings with one another during the preparatory phase. Fulfilling these roles involves more than just chairing the meeting or taking minutes. Have them explain to each other the steps they’ll be taking and the challenges they’ll face. This will come in handy later when they’re working together within a crisis team under high pressure.

2. Sit close together

It is helpful for the chairperson and the note-taker to sit close to each other at the meeting table. This makes it easier for the note-taker to subtly assist the chairperson in leading the meeting. In this way, the note-taker helps to keep the meeting on track.

3. Summary

It is often extremely helpful to the recorder when the chairperson summarizes the key points of a crisis team member’s input. This makes it easier to record that input—such as perceptions or assessments—especially when dealing with complex issues.

4. After the meeting

It is recommended that the chairperson and the logkeeper review the logbook together after a meeting. At that time, the logkeeper can make any necessary corrections to the logbook. This also helps the chairperson prepare for the next crisis meeting.
