
If you want to take information management within your crisis management team to the next level, situation reports are essential. In this article, I explain what a situation report is and discuss five different ways to use them.
A situation report, also known as a "sitrap," is an important tool for crisis management. A sitrap is intended to share a description of the situation from one entity within the crisis organization (such as a department) with another entity (such as a crisis team). A sitrap serves as a status update and is therefore constantly evolving. You can think of it as a form that is filled out during a crisis and then continuously updated as the crisis unfolds.
Situation reports can be used in a variety of ways. Below, I discuss five different applications:
A situation report can be used to share the status of a specific department with a crisis team. In such a report, a department typically provides a description of the situation, the main challenges, and, if necessary, what the department needs from the crisis team. An environmental analysis and the accompanying recommendations from the communications department are also good examples of this.
A situation report can also be used to share information about the situation among different crisis teams within an organization. For example, an operational crisis team might prepare a situation report for a strategic crisis team. Such a report typically shares the most relevant assessments, analyses, and decisions with the other team.
A situation report can also be used to describe the status of a specific issue within the crisis situation. Examples include the number of casualties or infections, the progress of an evacuation, or the restoration of certain processes. The advantage of using situation reports on specific issues is that you can closely monitor developments regarding that specific issue.
It is also possible to receive situation reports from external parties. These may include emergency services, suppliers, or other supply chain partners. It is therefore important to organize and coordinate collaboration with external parties effectively, so that their situation reports can be utilized in a timely and efficient manner.
The purpose of a real-time overview is to ensure that everyone involved in the crisis response team has the same understanding of the situation. You can think of it as a kind of executive summary containing information about the scope of the crisis, expected developments, and the measures that have been taken. By regularly sharing a real-time overview, the crisis response team can respond quickly and appropriately to changing circumstances, enabling the crisis to be managed effectively.
