As a logger, how can you help your chairperson perform better?

As a note-taker, you’re not just the crisis team’s minute-taker. You’re the chairperson’s right-hand person. The better you work together, the smoother the crisis meeting will go. Here are four tips to help you, as a note-taker, help your chairperson shine:

1. Understand each other

Get to know each other’s roles well in advance. Talk to your chairperson about how they will run the meeting and what you should be paying attention to. If you understand the challenges the chairperson sometimes faces, you can offer that extra bit of support when needed.

2. Sit close to the chairperson

Literally. Make sure you sit next to or directly across from the chairperson. That way, you can easily whisper something or give a quick glance to indicate that something is in danger of being overlooked. Your observations will help the chairperson keep the proceedings on track.

3. Ask for summaries

When things get complicated, a brief summary from the chairperson is invaluable. Feel free to ask for one if it helps you capture the essence clearly in the logbook. This way, you can keep track of everything and ensure the logbook remains accurate.

4. Checking together

Schedule a brief follow-up meeting. Go over the logbook together: does everything look correct? Is anything missing? This way, you’ll both be sure that the logbook is in good shape for the next meeting.

As a meeting recorder, you’re much more than just a note-taker. You’re the quiet force that keeps the crisis team running smoothly.
